Manage Job Details

Basic Tab

Job number - this will show you the job number of the job

Customer name - shows you the customer name

Job status - this will show you the status of the job either started or not started

 

Quote number - shows you the quote number

Project - assign a project to the job

Trackit Item - assign a trackit item to the job

 

Short description - describe the overall summary of the job, makes it easier to search when you have lots of jobs

Order number - order number of the job from the customer giving authorization to go ahead

Sales representative - the sales Rep who closed the deal

 

Job manager - the manager of the job

Job capturer - the main person capturing information on the job

Job percentage completed - this is a drop down whereby the user assigns a specific percentage that the job has been completed

Completed - this is the percentage the system works out based on budget versus actual shown as a percentage complete

Percentage button -> update - this will update the percentage in the drop down to the nearest value of 5 example - 5 to 9 % will update to 5%

          10 to 14% will update to 10% etc

          The percentage will update automatically when adding a CTC and SC items.  This includes managing any lines on the job

 

Filter Tab

 

The filter tab allows you to sort the data within the grid, when you have lots of data this becomes your best tool.

 

 

Item code – enter any value to search for items in the code

Description - enter any value to search within the description

Line reference - enter any value to search within line references

 

Employee - search for a specific employee with lines assigned to them

Department - search for any lines with a specific Department assigned to them

Function - search for any lines with a specific function assigned to them

Line type - Filter by different line types, for example quote, Cost the company (CTC), Scope Creep (CS)

 

Required date from and required date to - search within this date range for items with a specific required date

 

Functions Tab

 

The functions tab allows you to do multiple actions on the job

 

 

 

New stock request - create a new stock request for new lines

Create stock request from tasks - this function allows you to create a stock request either from a task structure or from existing lines

Import - import data into the job and manage them

Delete job line - delete a line on the job if you have not managed it

 

Create PO - create a purchase order from the job with the existing lines

Support log - view all support logs with the assigned job number

Time log - view all time logs with the assigned job number

 

Task verify - verify the task has stock items

Manage all - a quick button to manage all lines within a task, serial numbered items will be ignored

Delete task - allows you to delete a task structure (if you have not managed any lines within the structure) if you have managed lines you will have to go to delete job line function

 

Add to packing slip - add items to a picking slip to be picked from the stores

Save this template - allows you to save a job as a quote template. you will be able to save on budgeted quantity, actual quantity or exceeded quantity. You can also ignore not started items

 

Manage BOM - manage an existing BOM from the BOM tab

Create BOM - create a new BOM Item manufacture

 

Details Tab

 

The detailed tab holds all the various states and long description

 

 

Details Tab

 

Approved date - this is the date that the quote was promoted to a job (it will be locked down and show as information only)

Start job - this is a tick box to allow you to start the job, if the job is not already started (once the job has started this will be grayed out)

Start date - while the job has not started , you may change the state for planning purposes (however once the job has started , it will take the current system date and put it in here and gray it out

 

Completion date - you can change the state until it is completed for planning purposes (this is usually the date that you plan to complete the job prior to delivering it to the customer)

Delivery date - this is the date that you want to deliver the items to the customer

End date - this is the date when the job ended

 

Long description - this description comes from the quote long description, it was also used to print a service job

 

 

Address Tab

 

List app has general information which will be passed onto the invoice and has some other general information

 

 

Address Tab

 

Address type - specify the physical address, Postal address or delivery address

Address line 1 to 5 - enter the address which you want your invoice or delivery to go to

 

Division - specify a specific division

Region - specify a specific region

Invoice group - specify an invoice group

 

Status / position - this is a predefined field which you can put additional information as to the status of the job

Assembly - put the tick on if this is an assembly item only

 

 

Custom Tab

 

Specify your selections for custom fields an ensure that you save these before closing the job
