Job Costing Process Flow (Step-by-Step)

1. Quote Stage

This is where the process begins.

Step 1: Preparation
  • The quote is created and all required details (pricing, items, customer info) are entered.
Step 2: Internal Approval
  • The quote is reviewed internally.
  • Approval ensures pricing, margins, and details are correct before sending to the customer.
Step 3: Customer Approval (Decision Point)
  • The quote is sent to the customer for approval.

If NO (Customer does not approve):

  • Decline → The quote is rejected.
  • Cancel → The quote is cancelled and closed.

If YES (Customer approves):

  • Accept → The quote is accepted and moves to job creation.

Job Management Stage

Step 4: Create Job
  • A job is created directly from the accepted quote.
Step 5: Functions / Manage All
  • The job can be managed using system functions:
    • Functions → Access tools and actions related to the job.
    • Manage All → Central area to control all job activities.
Step 6: Manage (Core Job Activities)

The job progresses through multiple operational activities:

  • Manage Lines

    • Add/edit job cost lines (labour, materials, etc.)
  • Time Sheets

    • Record labour hours worked on the job.
  • Stock Request

    • Request materials required for the job.
  • GRV (Goods Received Voucher)

    • Record stock received from suppliers.
  • BOM (Bill of Materials)

    • Define or manage required materials and components.

These activities can happen in parallel and are continuously updated.

Step 7: Job Complete
  • Once all work, materials, and costs are finalised:
    • The job is marked as Complete
