Email Template Letter Setup

Email templates are are set up and maintained by the customer. The system does not provide pre‑configured content. Customers are responsible for creating, updating, and approving all email wording, layout, using the appropriate placeholders.

There are are four email template options, each used in a different part of the system.


1: Asset Email Out (WebAvatar) / Batch Email Out

This option is used for Asset Email Out (via WebAvatar) and Batch Email Out.
Both functions share the same customer‑defined template.

Key points:

  • A single template is used for both Asset and Batch email communications
  • Any changes to the template apply to both email types
  • Template content is created and managed by the customer

Use this option if: you want consistent messaging for asset‑related and batch communications.


2: Supplier Email Out

This option controls emails sent to suppliers.

Key points:

  • Uses a separate template specific to supplier communications
  • Allows wording, tone, and details to be tailored for external recipients
  • Template must be created and maintained by the customer

Use this option if: emails sent to suppliers require different wording from customer or internal emails.


3: Job Management Email Out

This option is used for emails generated through the Job Management process.

Key points:

  • Supports job‑related notifications and updates
  • Template content is customer‑defined
  • Does not affect asset, batch, or supplier templates

Use this option if: job‑related emails require their own wording or format.


4: Job Receive Stock Email Out

This option is used when emails are sent during the Job Receive Stock process.

  • Template content must be set up by the customer
